5 Email Sequences Every Coach Needs (With Templates)

Most coaches leave thousands of dollars on the table because they don't have automated email sequences. Here are the five you need, with ready-to-use templates for each.

Email is the highest-ROI channel in your coaching business. A single automated sequence can generate leads, convert clients, and retain them — all without you being in the room.

But most coaches either don’t have sequences at all, or they have a single “Join my newsletter” popup that sends broadcast emails whenever they remember.

Goal: Turn a new subscriber into a warm lead. Trigger: Someone joins your email list. Duration: 10-14 days.

Sequence 2: The Booking Follow-Up

Goal: Re-engage someone who booked a discovery call but didn’t show or didn’t convert. Trigger: Someone books a call and either no-shows or doesn’t sign after. Duration: 7 days after the missed call.

I noticed we had a call scheduled for [date] that we missed. Totally understand — life happens.

Sequence 3: The Post-Purchase Onboarding

Goal: Get a new client from “signed up” to “first session” with zero friction. Trigger: Client pays their first invoice. Duration: 1 week.

I’m excited to start working with you. Here’s everything you need to know before our first session:

  1. Your portal: [Link to portal] — All your materials, session notes, and scheduling live here.
  2. Your first session: [Date/Time] — [Zoom link or location].
  3. Prep: Before our first session, please complete [intake form link or prep worksheet].
  4. Questions: Reply to this email anytime, or message me in the portal.

Sequence 4: The Re-Engagement

Goal: Wake up cold subscribers who haven’t opened your emails in 90+ days. Trigger: Subscriber hasn’t opened any email in 90 days. Duration: 3 emails over 2 weeks.

It’s been a while since you opened one of my emails, and I want to make sure I’m still sending stuff that’s useful to you.

If coaching-related content is still relevant, just reply to this email and I’ll keep you on the list.

If they don’t engage, remove them. A smaller engaged list beats a large dead list every time.

Sequence 5: The Reactivation (Former Clients)

Goal: Bring back past clients for a refresher, advanced program, or referral. Trigger: Client completes their coaching program (automated, based on end date). Duration: 3 emails over 3 months.

Subject: How’s it going?

Hey [Name],

It’s been [timeframe] since we wrapped up our coaching. I’d love to hear how you’re doing.

A few things I’ve been thinking about that might be relevant now:
